After adding questions and logic to your Email or Shareable link survey, you can modify settings responsible for identifying the respondents and survey status.
Here's what you can achieve:
enable or disable your survey;
choose the tool to identify respondents with;
set up survey retaking;
select the trigger to disable the survey automatically.
This article shows how to customize survey settings. If you want to learn first how to create and design the survey, please navigate to these guides:
In the Launch tab, you can enable your survey, share it, and decide who can respond and for how long. The Launch tab has six sections: Share, Identify respondents, Response limits, Link expiration, Retaking and End date.
We'll go through them step by step below.
Step 1. Share
In the Launch ➡️ Share section, you'll find the option to enable your survey, get the link, email embed code, QR code, or links to share the survey on social media:
❗️If you wish to collect feedback from identified respondents, please select a distribution tool in the Identify respondents section first.
Similarly, if you wish to use the Link expiration date, please set it up first, before copying the survey link or code.
In the Share tab, you can also customize the survey title, description, and thumbnail image.
Step 2. Identify respondents
If you send your surveys via one of the supported distribution providers, we will automatically capture respondents' email addresses and full names using software-aware links. You'll get to know what response each person gave!
❗️If you need your responses to be anonymous, you can skip this step.
Go to Launch ➡️ Identify respondents and choose the tool you'll send the survey with.
Currently, we support sending surveys with:
Intercom, Mailchimp, Hubspot, Klaviyo, Calendly, ActiveCampaign, Sendgrid, Salesforce Classic or Lightning, Marketo, Salesforce Marketing Cloud Account Engagement (Pardot), Zendesk, Sharpspring, Drip, Keap, Kit (formerly ConvertKit), Freshsales, ConstantContact, GetResponse, Ortto, Customer.io, Mailgun, iPresso, Campaign Monitor, Help Scout, ZohoCampaigns, Vero, Drift, Braze, Bronto, SALESmanago, Lifecycle.io, Attentive, Brevo, Base.
Click on your tool above to learn more about sharing surveys with this software.
💡 You might still be able to identify your respondents even if your distribution provider is not on the list. Learn more about that in this article.
Step 3. Response limits
In the Launch ➡️ Response limits tab, you can set a response limit for your survey. We will automatically stop the survey when this response limit is reached:
When the periodical Limit of responses within a period is reached, the survey will change its status to Paused with an indication of when it will be reactivated.
Limits of responses within a period are counted on a calendar basis - calendar day, week, month, year. Those limits are counted according to the GMT timezone - for instance, if your survey has a limit of 10 responses per day, it means that it can collect 10 responses from 00:00:00 GMT until 23:59:59 GMT each day.
You can also limit responses per clock hour.
❗️If you would like to reactivate it earlier, you need to increase the Limit of responses within a period and enable the survey after that. If you don't enable a survey, it will not be activated automatically when the Limit of responses within a period is increased, you need to enable it on your own.
❗️There can be a delay of up to 10 minutes for the survey to be disabled when the responses limit is reached.
If you don't want to have any limits, disable this feature.
Step 4. Link expiration
In the Launch ➡️ Link expiration tab, you can set the period of time during which each email survey respondent will be able to answer the survey:
This expiration date is calculated individually for respondents, based on the date each of them receives the survey.
Learn more in the dedicated guide for this feature.
Step 5. Retaking
You can let your respondents answer the survey only once, or with a selected frequency, from the same browser.
If you want to collect recurring insights from the same person, you can modify the Retaking settings:
You can choose to:
Allow the survey to be taken multiple times by the same respondent
With this option toggled on, you should select if the survey should allow another submission immediately or after some time has passed.
Each submission will be assigned the same respondent ID.
You can also use kiosk mode by enabling the Survey multiple respondents on a single device option. Once enabled, the survey will treat each submission from the same device as a new respondent.
Optionally, you can toggle on the Refresh the survey after completion function, so that the first question of the survey is shown soon after someone finished responding.
If the retaking settings don't allow users to answer the survey again, we will show a "You have already responded to this survey" message to users who have already completed the survey.
💡If you want to test your survey multiple times yourself, you can enable the Refresh the survey after completion option or do one of the following:
clear your browser cache,
test on another device
use incognito mode of a browser
Make sure to close the incognito window every time you submit a new response.
Step 6. End date
You can stop your survey on a specific date to make sure the feedback collection ends on your preferred date.
Go to Launch ➡️ End date to set it up:
We will stop your survey on the selected day at 0:00 GMT.
